Understanding Vendor Credits & Wallet System

For Cashkr Internal Team – Vendor App Training Module

1. Overview

Cashkr Vendor App uses two separate balances:

  1. Wallet → Real Money

    • Vendors use this to pay customers during pickup.

    • It is filled through bank deposit (virtual account).

    • Vendors cannot withdraw unless account closure.

  2. Credits → Virtual Commission Points

    • Vendors use these to unlock orders in the Cashkr Partner Portal.

    • Credits are deducted, not earned.

    • Credits cannot be transferred or exchanged.

Both systems work together to ensure secure order unlocking + guaranteed customer payment.

2. Wallet System (Real Money)

2.1 What is the Wallet?

  • A virtual account linked to Cashkr’s bank.

  • Vendors deposit/refill money into the virtual account.

  • Cashkr receives auto-update from the bank → Wallet gets updated instantly.

2.2 Key Rules

  • Minimum top-up: -10,000

  • No manual request required for adding money.

  • No fees for adding money.

  • Used only for paying customers.

  • No withdrawal access—except during account closure by admin.

2.3 When Wallet is Checked

Wallet balance is checked:

  1. When vendor tries to unlock an order

  2. When vendor tries to pay customer

  3. During refund reversals

2.4 Wallet Deduction Logic

  • During order unlock, system checks Wallet balance to confirm vendor can pay the customer after inspection.

  • During payment at pickup, vendor receives OTP from customer, enters OTP, and payment is processed from Wallet → customer's bank.

3. Credits System (Virtual Points)

3.1 What Are Credits?

  • Non-money digital points used to unlock order details.

  • Credits represent commission paid by vendor to Cashkr for taking the order.

3.2 Rules

  • Vendors do NOT earn credits; they pay credits.

  • Credits cannot be transferred.

  • Credits are deducted instantly during order unlock.

  • Credits are stored in Vendor Account → visible in app.

3.3 When Credits Are Deducted

  • Only when vendor unlocks an order.

Examples:

Order Type

Required Credits

iPhone 14 Pro

90 credits

MacBook Air

100 credits

Budget Android

50 credits

(Exact numbers managed by Pricing Team)

4. Order Unlock Flow (Wallet + Credits Combined)

Whenever a vendor tries to unlock an order, the system checks:

Step 1 → Check Credits

  • Does vendor have enough credits?

  • If yes → deduct credits.

Step 2 → Check Wallet

  • Does vendor have enough Wallet balance to pay the customer after inspection?

  • If yes → allow unlock.

Step 3 → Unlock Successful

Vendor now receives:

  • Customer details

  • Price

  • Model

  • Address

  • Inspection checklists

Only ONE vendor can unlock the order (first come first serve).

5. Payment to Customer (Wallet → OTP System)

Step-by-Step Payment Flow

  1. Vendor inspects device.

  2. Final price is shown on the app.

  3. Vendor clicks Pay Now.

  4. Customer receives an OTP on SMS.

  5. Vendor enters OTP.

  6. Wallet → Customer bank account transfer is done instantly.

Important

  • No manual approval is needed.

  • Vendor must confirm OTP from customer only.

  • Payment is fully traceable in the admin panel & bank logs.

6. Refund Process (For Order Failed / Canceled)

Refunds happen inside the Cashkr admin panel, not through the bank.

Refund Includes:

  1. Credits deducted during unlock

  2. Wallet balance deducted during order

Flow:

  • Admin → Refund Order

  • Credits + Wallet are returned to vendor’s account

  • No bank involvement

7. Vendor Limits & Security

Limits

  • No daily/weekly transaction limits for vendors.

  • OTP verification mandatory for customer payments.

Security

  • All transactions logged in:

    • Vendor app

    • Admin panel

    • Bank virtual account

  • Cashkr audits all transactions.

8. Common Scenarios & How to Handle

Scenario 1: Vendor says “Credits deducted but order failed”

→ Admin checks order
→ Apply Refund Credits & Wallet
→ Update vendor

Scenario 2: Vendor cannot unlock order

Check:

  • Credits available?

  • Wallet sufficient?

  • Vendor blocked or on hold?

Scenario 3: Vendor paid customer but order still shows pending

→ Ask vendor to confirm OTP
→ Check Wallet logs in admin panel

Scenario 4: Vendor wants to withdraw Wallet money
